Job Description:

The Fleet Shop Foreman manages vehicle maintenance staff and operations, overseeing daily repairs, preventive maintenance, quality control, and record-keeping for an organization’s fleet.  This role requires strong mechanical knowledge, leadership, and administrative skills to optimize fleet reliability, minimize downtime, and meet organizational objectives.

Job Responsibilities:

1. Supervision & Leadership

  • Oversee daily operations of the fleet maintenance shop.
  • Supervise, schedule, and coordinate activities of mechanics, technicians, and support staff.
  • Ensure all personnel follow safety protocols, company policies, and standard operating procedures.
  • Provide training, mentoring, and performance evaluations for shop employees.

2. Maintenance Management

  • Ensure timely and efficient preventative maintenance and repair of all fleet vehicles (light, medium, and heavy-duty).
  • Diagnose complex mechanical and technical issues; provide guidance on repairs.
  • Monitor vehicle performance and ensure compliance with safety and regulatory standards.
  • Maintain accurate service records, inspection logs, and maintenance schedules.

3. Work Order & Workflow Oversight

  • Prioritize and assign work orders based on urgency and shop capacity.
  • Monitor progress and quality of work to ensure timely completion.
  • Approve completed work orders and verify accuracy and completeness of documentation.

4. Inventory & Parts Management

  • Oversee inventory levels for tools, equipment, and parts.
  • Coordinate with vendors to source quality parts at competitive prices.
  • Ensure proper tracking, storage, and disposal of parts and fluids.

5. Budget & Cost Control

  • Assist in developing and managing the fleet maintenance budget.
  • Monitor and control costs related to labor, parts, and external repairs.
  • Recommend cost-saving strategies without compromising quality or safety.

6. Compliance & Safety

  • Ensure compliance with all federal, state, and local regulations (e.g., DOT, OSHA).
  • Conduct or coordinate safety meetings, inspections, and audits.
  • Maintain shop cleanliness and a safe working environment.

7. Vendor & Contractor Coordination

  • Liaise with external repair shops and vendors for specialized services.
  • Review and approve external work to ensure it meets standards and requirements.

8. Reporting & Communication

  • Prepare and present regular reports on fleet status, downtime, repair trends, and KPIs.
  • Communicate with fleet managers, drivers, and other departments to ensure alignment and responsiveness to needs.

9. Technical Expertise

  • Stay current with advances in vehicle technology, diagnostics, and tools.
  • Provide hands-on support for complex mechanical tasks when needed.

10. Emergency & After-Hours Response

  • Be available for emergency repairs or coordination during off-hours or weekends as necessary.
  • Develop and manage an on-call schedule for after-hours support.
